  • The Incoming Webhook app requires a paid Zoom plan. On a free Zoom account the app is not available, so there is no webhook to copy.
  • Your Zoom administrator may need to approve it. Many organisations lock down the App Marketplace so that only pre-approved apps can be added. If that is your setup, the request goes to whoever administers Zoom, and until it is granted the app cannot be installed.

Neither is something PostRSS can work around — they are Zoom's rules about its own marketplace. Both are usually a short conversation rather than a real obstacle, but they are the reason a Zoom setup sometimes takes a day longer than a Mattermost or Zulip one.

Setting it up, step by step

  1. Add the Incoming Webhook app from the Zoom App Marketplace to the channel that should receive the posts.
  2. Copy the webhook details the app gives you. Treat them as a credential: anything holding them can post into that channel.
  3. In PostRSS, open Accounts and choose Add new Zoom Team Chat account, then paste what you copied.
  4. Open Targets and click Add feed. One feed going to one channel is one Target.
  5. In Target settings, choose Zoom Team Chat and the account you just connected.
  6. Click Add source. Set Type to RSS feed and paste your feed address into Link. Save.
  7. Publish something and watch. PostRSS checks the feed every 5 minutes (every minute on Enterprise plans).

What the channel sees

Each new feed item arrives as a message with a link to the article. It is deliberately brief. A work channel scrolls quickly, and the job of the message is to tell people something exists and let them decide whether to open it — not to reproduce the article inside the chat.

One behaviour to know before connecting anything: PostRSS publishes items that appear in the feed after the Target starts running. It does not import the back catalogue, which is deliberate — the alternative is a channel flooded with years of archive on its first day.

What to send there

  • Release notes and changelogs. The team sees them in the tool it already has open during the working day.
  • Status-page incidents. Most status providers publish a feed. Pointing it at an operations channel is five minutes of work that repays itself the first time something breaks.
  • Your own publishing. Sales and support usually learn about a new article last; a feed fixes that permanently.
  • Vendor and security advisories. These almost always have a feed, and a compliance channel is the right home for them.

The discipline that keeps any of this welcome is sending less than you could. If your site publishes several categories, point the channel at the category feed that concerns that team rather than at everything. A channel people mute is worth nothing however reliably it is fed.

When messages stop arriving

  • The app was removed or the webhook regenerated. The old details stop working immediately, and nothing notifies you. Re-add the app and paste the new ones.
  • The Zoom plan changed. If the account dropped to a free plan, the Incoming Webhook app goes with it.
  • An admin revoked marketplace approval. Organisation-level app policies can be changed after installation.
  • The channel was archived. A webhook belongs to one channel; if the channel is gone, so is delivery.
  • Nothing new in the feed. An unchanged feed correctly produces nothing.

Zoom Team Chat next to the other team tools

Nobody picks Zoom Team Chat the way they pick Slack or Mattermost. It arrives with Zoom, and in organisations that already pay for Zoom licences it quietly becomes the default because there is no second purchase to justify. That is its strength as a destination: your colleagues are already there, and no one has to be persuaded to install anything.

Compared with the alternatives, the practical differences are the two prerequisites above. Google Chat, Mattermost, Zulip and Webex all hand you a webhook without a plan requirement or a marketplace approval step. Zoom asks for both. Against that, it is the only one of them that is already open on the screen of everyone who joins your meetings.
